Ascend AI Systems ("Ascend," "we," "us") builds and manages AI-assisted systems that help home service businesses answer calls, follow up with customers and recover lost revenue. This Privacy Policy explains what information we collect, how we use it, and the choices you have. Questions: contact@ascendaisystem.com.
When we handle information about our clients' customers, we do so on behalf of that business, to provide our services to it. That business decides how its customer information is used, and its own privacy policy also applies.
Our services use artificial intelligence, including third-party AI providers, to answer and transcribe calls, understand requests, draft messages and summarize activity. These providers process information on our behalf, under business terms, to perform the service.
We do not use our clients' data, or their customers' data, to train general-purpose AI models, and we don't allow our AI providers to do so under the business terms we use. AI can make mistakes, so our clients set the rules our systems follow and can review activity at any time.
Calls handled by our AI receptionist may be recorded and transcribed so the business can review them and so we can provide and improve the service. Callers are told at the start of the call that it may be recorded, as required by Washington law and other applicable laws.
We send text messages on behalf of our clients, for example appointment confirmations, reminders, follow-ups and customer service messages. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except service providers that help us deliver messages (such as our messaging carrier).
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
If a client connects a Google account (for example Gmail), Ascend's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve the user-facing features the client has enabled, we don't use it for advertising, and we don't allow humans to read it except with the client's permission, for security purposes, to comply with law, or as part of aggregated and de-identified internal operations.
If a client connects a Microsoft account (for example Outlook or Microsoft 365), we use that data only to provide the features the client has enabled, and the client can revoke our access at any time from its Microsoft account settings.
We keep information for as long as needed to provide our services and for legitimate business purposes such as billing, security and legal compliance. When a client stops using Ascend, we delete or de-identify its data within 90 days, except records we must keep for legal, tax or accounting reasons. Clients can request an export of their data before deletion.
We use reasonable administrative, technical and physical safeguards to protect information, including encryption in transit, access controls and limiting access to people who need it. No method of transmission or storage is completely secure, so we can't guarantee absolute security.
Our services are for businesses and aren't directed to children under 13. We don't knowingly collect personal information from children.
We may update this policy from time to time. We'll post the new version here with a new "last updated" date, and will notify clients of material changes.
